For WorkApp to estimate cost and profitability correctly, it needs to know how much one hour of work needs to earn in your business. From Company Account you set company data, currency, VAT and the target hourly rate.

How do I compute my hourly rate?

The built-in Average Hourly Cost Calculator tells you how much one employee-hour needs to bring in so the company stays profitable (payroll + taxes + overhead + target margin).

💡 Note: if you want a different rate for specific employees (senior, team lead, subcontractor), you set it per-user from Employees. Same for clients — if a client has a different markup, edit it from Client details.

From Personal / Users you create employee accounts. Each gets a welcome email and logs in on their own — no training needed, no Excel, no paper forms.

What does the employee need to know?

One thing: after the job, open WorkApp and log what they did. It's a 60-second flow on their phone.

💡 Employees can create new clients themselves from the daily activity form if they encounter a new client in the field that admin hasn't set up yet.

💡 Different rate per employee? You can set a per-user hourly rate (higher for team leaders, lower for subcontractors) from the employee edit page — overrides the company-wide rate.

  • WHERE? Client / job / location (can create new client on the fly)

1. You create the quote

From Quotes you add a new quote: client, products/services, markup, VAT. Send the PDF to the client's email directly from the app.

2. Mark the outcome

When the client responds, mark the quote Accepted or Rejected. Untouched quotes stay visible → you know who to call for follow-up.

3. Accepted quote becomes a job

Once accepted, the quote appears automatically in the client's jobs list. Employees pick it as an option in the Daily Activity form → WorkApp links activity → quote → real cost automatically.

4. Automatic profitability

Because the job started as a quote, WorkApp computes estimated vs. actual vs. billed automatically and shows you the remaining margin per job in Jobs / Quote Profitability.

📧 Bonus: quotes with no answer after X days are surfaced as a follow-up list.

The employee opens Daily Activity and files a vacation request for the desired dates. The request:

  • is emailed automatically to the admin with an official request PDF attached
  • appears in the admin's timesheet page
  • can be approved or denied with one click — employee gets a notification
  • stays in the employee's history for later checks

Weekly timesheets are generated automatically from daily activity and emailed to you every Monday morning. At month-start you get the full monthly rollup of hours, vacations and working days per employee.
